Overview

Office Clearance- what it is, who it's for.

What it is

Office clearance is the structured strip-out and removal of everything left behind when a business moves, downsizes, refits or hands back a lease - desks, chairs, partitioning, cabling, kitchenette fittings, IT equipment and general contents. Done properly it isn't just a skip run: it means classifying and segregating each waste stream, removing IT assets with a verifiable chain of custody for data-bearing equipment, and leaving the unit in the condition your lease or dilapidations schedule requires.

Who it's for

We work with letting agents and surveyors managing lease-end handbacks, office managers coordinating a move or downsize, facilities teams running scheduled clearances across multiple sites, and businesses closing or consolidating premises. Our commercial client list includes Regus, Lambert Smith Hampton and Lavazza, alongside independent offices, showrooms and retail units across Liverpool, Wirral and Cheshire.

When to call

Call us when a lease end date or dilapidations deadline is fixed, when a move-out has to happen without disturbing staff or customers, when IT equipment needs decommissioning securely before disposal, or when a landlord's schedule of condition requires the unit stripped back to shell. Most clearances are booked 5-10 days ahead, but out-of-hours and weekend slots are available where a business cannot afford daytime downtime.

Why professional matters

An office clearance handled badly creates real business risk: data left on decommissioned hard drives is a breach under UK GDPR, waste tipped by an unlicensed contractor leaves the business liable under Section 34 of the Environmental Protection Act, and a botched handback can trigger dilapidations disputes worth thousands more than the clearance itself. A licensed contractor with documented processes removes all three risks in one job.

What Happens If It's Left

The cost of delayis rarely the cost you see.

The clearance itself is rarely the problem - it's the paperwork, the data and the deadline that catch businesses out.

  • Data left on old equipment

Old PCs, servers, photocopiers and phone systems routinely hold client and staff data. Under UK GDPR, the business - not the clearance contractor - remains accountable if that data resurfaces. Equipment needs proper decommissioning and a certificate covering data-bearing devices, not just a trip to the tip.

  • Dilapidations disputes

Landlords and surveyors increasingly hold tenants to the exact condition set out in the lease schedule. A clearance that leaves fixed partitioning, cabling or fixtures behind - or damages the fabric while removing them - can turn into a dilapidations claim that costs far more than the clearance.

  • Disruption during trading hours

Vans, dust and noise in a working reception, retail unit or shared office block during the day can unsettle staff, customers and neighbouring tenants - and in serviced offices, breach the terms of the licence.

  • Working at height without control

Suspended ceiling tiles, high-level shelving, signage and light fittings all involve work at height. HSE guidance requires this to be properly assessed and carried out with trained operatives and the right access equipment - not improvised on a stepladder.

  • Fly-tipping liability

If an unlicensed 'clearance man' dumps your office waste, the Environment Agency can pursue the business that produced it. A Registered Waste Carrier with transfer notes is the only way to fully discharge that duty of care.

  • Missed deadlines

Lease-end and completion dates don't move. A contractor who under-quotes the volume or can't return for a second load can leave a business in breach of its handback obligations on the day it matters most.

Our Process

A defined sequence.Documented at every step.

  1. STEP 01

    Enquiry & Brief

Call Shaun directly or submit the form with the unit size, lease-end date and any dilapidations schedule. We confirm scope and preferred working hours - daytime, evening or weekend.

  2. STEP 02

    Free On-Site Assessment

A crew lead surveys the site, identifies IT and data-bearing equipment, checks for fixed items requiring removal under the dilapidations schedule, and confirms access and lift availability.

  3. STEP 03

    Written Fixed-Fee Quote

You receive a written quote covering desks, furniture, partitioning, IT/WEEE, and any work-at-height items, with the proposed date and working hours confirmed in writing.

  4. STEP 04

    Scheduled Strip-Out

Trained operatives dismantle and remove desks, workstations, partitioning and fittings, working out of hours or at weekends where agreed so trading is unaffected.

  5. STEP 05

    Secure IT & WEEE Handling

PCs, servers, monitors, phone systems and printers are logged, removed under WEEE regulations and routed for secure data destruction where data-bearing drives are present.

  6. STEP 06

    Sign-Off, Reporting & Compliance

You receive Waste Transfer Notes, a recycling and reuse breakdown for ESG reporting, photographic evidence of the cleared unit and, where applicable, a certificate covering IT asset disposal.

Why It's Worth Doing Properly

Specific outcomes.Not vague promises.

Every benefit below is something you can measure, document or hand to an insurer - not a slogan.

No disruption to trading

Evening and weekend scheduling means clearance work happens around your business, not during it - important for shared buildings, reception areas and retail-facing units.

Data handled properly

IT equipment is logged and routed for secure data destruction, giving you a documented answer if a data protection query ever arises.

Dilapidations-ready handback

We work to the landlord's schedule of condition where one exists, removing fixed items and making good so the unit is handed back on time and in the agreed state.

ESG and recycling reporting

Every job comes with a breakdown of what was reused, recycled or disposed of - useful for sustainability reporting and procurement audits.

Safe work at height

IPAF-trained operatives and the right access equipment for ceiling tiles, signage and high-level fittings, in line with HSE requirements.

One contractor, one invoice

Furniture, partitioning, IT/WEEE and general waste are all handled by the same crew and billed on a single fixed-fee invoice - no separate specialists to coordinate.

In Detail

Methods, materialsand the situations we handle.

Marsh Environmental holds an upper-tier Environment Agency Waste Carrier, Broker and Dealer licence and is HSE compliant and IPAF trained, covering every stage of an office or commercial clearance from strip-out to disposal.

Desk and workstation strip-out

Desks, pedestals, task chairs, meeting tables and soft seating are dismantled, removed and, where in good condition, diverted to reuse networks rather than sent for disposal - reducing both cost and landfill.

Partitioning, flooring and fit-out removal

Stud partitioning, suspended ceilings, raised access flooring and carpet tiles are removed where the lease requires reinstatement, with materials segregated for recycling where the facility allows it.

IT equipment and secure data destruction

PCs, laptops, servers, monitors, photocopiers and phone systems are logged on collection. Data-bearing drives are routed for certified data destruction before the equipment is processed as WEEE, giving you a paper trail for compliance purposes.

Dilapidations and lease-end handback

Where a schedule of condition or dilapidations report has been issued, we work through it item by item, removing tenant fixtures and making good so the handback meets the landlord's or surveyor's requirements.

Out-of-hours and weekend working

Clearance work can be scheduled entirely outside your trading hours - evenings, early mornings or weekends - which matters in shared office buildings, retail parades and serviced offices where daytime access is restricted or disruption is unacceptable.

Work at height, compliantly

Ceiling tiles, high-level shelving, signage and light fittings are removed by IPAF-trained operatives using appropriate access equipment, in line with HSE work-at-height requirements - not improvised with ladders.

How much does an office clearance cost?

Pricing depends on the volume of furniture and IT equipment, the number of floors or lifts involved, and whether out-of-hours working is needed. As a guide, a single-room office clearance is comparable to a quarter or half van load; a full floor is typically quoted individually after a free site survey.

Can you work outside our trading hours?

Yes. We regularly schedule evening, early-morning and weekend clearances for offices, retail units and shared buildings so that staff, customers and neighbouring tenants are not disrupted.

What happens to our old computers and servers?

All IT equipment is logged on collection. Any data-bearing drives are routed for secure data destruction before the units are processed as WEEE under the WEEE Regulations. We can confirm the process in writing before collection.

Can you help with a dilapidations handback?

Yes. If you have a schedule of condition or dilapidations report from your landlord or surveyor, we'll work through it item by item and clear the unit to meet those requirements ahead of your lease-end date.

Do you handle partitioning, ceiling tiles and fixed fittings?

Yes. Our IPAF-trained operatives remove partitioning, suspended ceiling tiles, high-level shelving and signage safely, in line with HSE work-at-height requirements.

Will we get a recycling report for ESG purposes?

Yes. Every clearance comes with a breakdown of what was reused, recycled or sent for disposal, alongside your Waste Transfer Notes - useful for sustainability reporting and procurement due diligence.

Do you work with letting agents and facilities managers?

Yes. We regularly work with commercial clients including Regus, Lambert Smith Hampton and Lavazza, as well as independent letting agents and facilities teams managing single sites or portfolios.

How quickly can you clear our office?

Standard clearances are booked 5-10 days ahead. Where a lease-end date or handback deadline is tight, we can usually accommodate a faster turnaround - call us directly to confirm availability.
